Embun Skin Clinic — Clinic group booking, packages and consent

The brief

Clinic groups sell prepaid packages across branches, but clients cannot see what they have left and managers cannot see what is still owed. Booking happens on WhatsApp, and consent and photo rules depend on staff remembering them.

What we shipped

A website with every price and online booking held by a deposit, a client app with a package wallet, a front desk schedule, a treatment room that enforces consent, and a group manager’s view of package liability, revenue, commissions and record access.

Built for: Aesthetics and skin clinic groups, and any clinic, spa or salon that sells packages across branches.

Inside the build

Every part, and what it does

A closer look at what was actually built — screen by screen, so you can judge the depth for yourself.

For clients4
Online booking
01

Online booking

Clients choose a treatment, a branch and a time. Only branches with the right room and a doctor or therapist on the roster are offered.

  • Doctor or therapist named per treatment
  • Times from rosters and rooms
  • Price and deposit shown before booking
Deposit to hold the time
02

Deposit to hold the time

A RM 100 deposit for doctor treatments, or RM 50 for therapist treatments, holds the time and comes off the bill. A package session can hold it instead.

  • FPX, DuitNow QR, card or e-wallet (demo)
  • Free changes until 24 hours before
  • No deposit with a package session
Client app
03

Client app

The next visit, anything to do before it, and every package with the sessions left, the expiry date and the branches that honour it.

  • Next visit with directions
  • Forms and consent status
  • Package wallet at a glance
Package wallet
04

Package wallet

Each package shows what was paid, where it was bought, where it can be used and every session used, line by line.

  • Sessions and value left
  • Branches that honour it
  • Every session dated and named
In the clinic3
Front desk schedule
05

Front desk schedule

The branch’s day by room, with each appointment’s status, deposit or package, and missing consent or forms flagged before the client arrives.

  • Rooms side by side
  • Deposit, package and form tags
  • Late arrivals stand out
Consent before treatment
06

Consent before treatment

A treatment cannot start until the client has checked in, the health form and consent are current and any flags are reviewed. Photos stay blocked without separate photo consent.

  • Start stays locked until ready
  • Health-form flags to review
  • Blocked photo attempts are logged
Checkout and package redemption
07

Checkout and package redemption

At checkout the desk takes off the deposit or redeems a package session. When the package was bought at another branch, its value moves to the branch that gave the treatment.

  • Deposit or session taken off
  • Cross-branch use settled monthly
  • The client’s wallet updates at once

Group overview

Unredeemed package value, treatment revenue, cash collected and the no-show rate across three branches, with revenue and package value by branch.

  • Package value owed as treatments
  • Revenue by branch
  • No-show rate
Package liability
09

Package liability

What each branch owes in treatments not yet given: opening value, sold, used, moved and expired, with the settlements between branches.

  • Movements by branch
  • Settlements between branches
  • Expired sessions counted
Team and commissions
10

Team and commissions

Sessions and value delivered by each doctor and therapist this month, with commission on treatments and on packages sold.

  • By practitioner and branch
  • Treatment and package commission
  • Sample rates, set per business
Who may see what
11

Who may see what

Each role sees only what it needs: the front desk sees consent status but not answers, notes or photos, and managers see figures only. Every view of a client’s record is logged.

  • Access set by role
  • Every record view logged
  • Clients can read their own log

Behind the build

Researched first, then built

Before designing anything, we studied 12 sites: six clinic groups in Malaysia, Singapore, the US and Ireland, and six clinic and booking software products. Nothing was copied. Each finding below changed a decision.

Studied (12)

  • Premier Clinic
  • Medi Beauté
  • V Medical Aesthetics
  • SL Aesthetic Group
  • SkinSpirit
  • Thérapie Clinic
  • Fresha
  • Pabau
  • AestheticsPro
  • MedicalMet
  • Yezza
  • Klinify
  • What we saw

Malaysian clinic sites send booking to WhatsApp or a form, and show prices mostly as trial offers.

    What Embun Skin Clinic does

A full price list and real booking: branch, practitioner and time, held with a deposit.

  • What we saw

Who performs a treatment is implied by “doctor-led” claims.

    What Embun Skin Clinic does

Every treatment says Doctor or Therapist, and booking offers only that kind of practitioner.

  • What we saw

Packages are sold on their savings, while a spa chain’s collapse showed the risk in prepaid treatments.

    What Embun Skin Clinic does

A package wallet with every session, and a manager’s view of what each branch still owes.

  • What we saw

Groups make you pick a location first, and offers exclude some branches.

    What Embun Skin Clinic does

Packages list the branches that honour them, and using one elsewhere moves its value.

  • What we saw

Clinic software sells consent, forms and photos as separate modules.

    What Embun Skin Clinic does

Consent and photo rules built into the treatment room, so Start stays locked until they are met.

  • What we saw

Malaysian clinic software is priced per branch and built around GP queues.

    What Embun Skin Clinic does

Features for groups: cross-branch packages and settlements, room use and commissions.

  • What we saw

Malaysia’s Medicine Advertisements Board does not allow before-and-after pictures in advertisements.

    What Embun Skin Clinic does

No before-and-after marketing; photos stay in the client’s record, and every view is logged.

Rules it follows

The business rules, built in

The prototype enforces each of these, so you can test them yourself.

Deposits and booking

  • RM 100 for doctor treatments, RM 50 for therapist treatments and consultations
  • A package session holds a booking instead of a deposit
  • Only branches with the right room and a rostered practitioner, at least 30 minutes ahead

Changes and no-shows

  • Free changes and cancellations until 24 hours before
  • Inside 24 hours the deposit is kept or a session is used
  • A no-show can be recorded 15 minutes after the start, and any waiver needs a logged reason

Consent and safety

  • Consent lasts 12 months and the health form 6 months
  • Relevant health-form flags must be reviewed before Start
  • Photos need separate consent, which the client can withdraw

Packages

  • Valid for 6 to 12 months at the branches listed
  • Using one at another branch moves its value and creates a settlement
  • Transfers only to branches that honour it, with a reason

Prices and privacy

  • One price list, and booked appointments keep their price
  • Each role sees only what it needs
  • Every view of a client’s treatment record is logged

Connected roles

One action, every screen

Every role works on the same records, so one person’s action shows up for the others.

  1. 1

An online booking with a deposit appears on the branch schedule and on the practitioner’s day.

  2. 2

Checking in at the desk still leaves Start locked until consent is signed.

  3. 3

A blocked photo attempt appears in the client’s and the manager’s access logs.

  4. 4

Signing off the visit tells the desk it is ready for checkout and sends the client the aftercare sheet.

  5. 5

Redeeming a session bought at another branch updates the wallet, moves the liability and adds a settlement.

  6. 6

Moving a package to another branch moves its unredeemed value with it.

  7. 7

A price change reaches the public price list and new bookings, while booked appointments keep their price.

Core systems

What this build is made of

These are systems we build repeatedly — each links to every other project that contains it, so you can compare implementations before deciding what you need.

Unique to this build

Built specifically for this project rather than assembled from the shelf.

  • Cross-branch packages

A package bought at one branch can be used at another, and its value moves between them as a settlement.

  • Consent gates

Treatment and photos stay locked until the right forms are signed and any flags are reviewed.

  • Package liability

What each branch still owes in prepaid treatments, kept current as sessions are used, moved or expire.
