Core systems
Accounts & customer portals
A logged-in area where customers and partners serve themselves instead of emailing you.
What it is
Authentication plus everything behind it: the customer’s own records, their history, and the actions they can take without going through your team. The same foundation serves consumer accounts, dealer portals and distributor back-offices.
How we build it
What makes ours work
Authentication is right-sized, not maximal
Login is friction, so we only put things behind it that genuinely belong there. Sentrix Auto’s warranty check deliberately needs no account — a customer should not register just to read their own coverage — while the dealer side sits behind proper authentication because dealers change records. Getting this boundary right per project matters more than any login technology, and it is the first design conversation we have.
Records come before features
A portal is only as useful as the records behind it. We design the customer’s view of their own data first — their orders, bookings, warranties, commissions, documents — and make each one self-serve: download the receipt, track the delivery, re-book the slot, check the coverage. Features like wishlists and preferences come after the record-keeping is solid, because a portal that cannot answer “where is my order?” does not get a second visit.
Roles map to real people, not abstract permissions
The same portal foundation serves very different people: a retail customer, a dealer’s counter staff, a distributor checking commissions, a platform operator. We name the actual roles in your business and give each a workspace shaped to their job — the VITALE build separates distributor and operator sides completely, and Aruva runs six distinct role workspaces on one platform. Permission systems built from real roles stay understandable years later.

Asked about accounts & portals
The questions that come up when we scope this system. Anything else, ask us directly.
How is security handled?
Passwords are hashed with modern algorithms and never stored readable; sessions expire sensibly; role checks happen server-side on every request rather than trusting the browser; and sensitive actions are logged. Where the data warrants it we add second-factor checks. Security is mostly discipline rather than features — the same server-side checks on every route, no exceptions for convenience.
Can partners and dealers have different access than customers?
Yes — that is the normal shape of our portal builds. Roles are first-class: a dealer sees and manages their own storefront and customers but nobody else’s; staff roles can be narrowed to specific queues; operators see everything with an audit trail. Sentrix dealers manage their own locations and warranty registrations while customers only verify coverage, on one shared platform.
Can you migrate our existing customers and their history?
Usually, yes. Existing records — customers, orders, memberships — are imported and linked so the portal is useful from the first login rather than starting empty. Passwords cannot be migrated from a properly built system (they are hashed), so returning customers set a new one through a verified email flow on first login. We plan that first-login experience deliberately so migration does not feel like a reset.
Do you support social login or single sign-on?
Where it fits the audience, yes — consumer products often benefit from Google sign-in, while dealer and staff portals usually want plain email accounts the business controls, and corporate clients sometimes need SSO against their existing directory. It is an audience decision rather than a default; we will recommend based on who is actually logging in.
