Wrenfield — Wedding and event venue booking system

The brief

Couples choose a venue by date first, yet no Malaysian venue site shows which dates are free. Prices sit in posters and PDFs, tax wording differs on every site, and holds, deposits, menu choices and guest numbers are tracked by phone and spreadsheet until the kitchen gets its sheet the week before.

What we shipped

A venue website with live dates for every space and session, a package builder priced per table or per guest with service charge and tax shown, 72-hour holds with a waitlist and an online deposit; My event for couples with payments, menu choices, tastings, the guest list, seating and the run sheet; a coordinators’ diary, enquiry pipeline and event folders; banquet event orders and a daily production sheet for the kitchen; and a management report.

Behind the build

Researched first, then built

Before designing anything, we studied 14 sites and products: seven Malaysian venues and caterers, two international venues and five venue and catering management products. Nothing was copied. Each finding below changed a decision.

Built in part

  • Catering orders online: there is no takeaway shop; couples’ menu choices go straight to the kitchen.
  • A second language: the booking disclosures and terms summary are also in Bahasa Malaysia.
  • Online signing: terms are accepted with the deposit and logged, without an e-signature provider.
  • Messages with the venue: an updates feed in My event; WhatsApp would carry the conversation in production.
  • Shifts and staffing: staffing is worked out from tables and service style, without a named rota.

Left out, and why

  • Divisible spaces: the three spaces are fixed, each with its own entrance.
  • A virtual tour: a real 3D capture cannot be faked honestly; floor plans, visits and open days instead.
  • Perks unlocked at table counts: the tasting comes with every menu and the value stays in the price.
  • Brochure downloads: live pages print to A4, so prices never go stale.
  • Beverage packages and corkage: an alcohol-free house policy; a tea corner and mocktail bar are add-ons.
  • Testimonials and awards (2): a concept venue has no real couples or awards to show.
  • Hotel rooms: a stand-alone venue without rooms.
  • Integrations: the demo runs in the browser, and payments are simulated.

Design research

How the leading sites look, and what we took

We measured the fonts, colours and layouts of the sites and products we studied, then applied what most venues share in an original design, on the public site, in My event and on every staff screen.

    Cormorant Garamond with Manrope, 12–13 px tracked uppercase labels and 16 px body text, on every screen.

Rules it follows

The business rules, built in

The prototype enforces each of these, so you can test them yourself.

Dates and holds

  • A hold lasts 72 hours, blocks the session for everyone and can be extended once
  • One active hold per couple, within the space’s seated capacity
  • A freed date goes to the first couple on the waitlist, with 48 hours’ priority

Prices

  • Chinese banquets per table of ten, other menus per guest
  • Peak, standard and off-peak sessions, including public holidays and their eves
  • A 10 % service charge and 6 % service tax, each on its own line

Payments and cancellation

  • A 20 % deposit (at least RM 3,000) confirms the date
  • 40 % due 90 days before and the balance 14 days before, with reminders
  • Cancellation charges by date, with today’s refundable amount shown

Cut-offs and changes

  • Menu choices close 30 days before
  • The final count, due 14 days before, locks quantities, tables and staffing
  • Later changes wait for a coordinator and become a change order once the balance is paid

Kitchen and privacy

  • A halal kitchen; outside food only sealed and certified, never in the kitchen
  • Dietary needs kept only with consent; the kitchen sees counts by table
  • Guest lists deleted 30 days after the event

Connected roles

One action, every screen

Every role works on the same records, so one person’s action shows up for the others.

  1. 1

    A couple books open-day tickets or a site visit, and the coordinators see it arrive in the pipeline.

  2. 2

    A couple holds a date online, and every visitor and the diary see it “On hold” with the time left. The coordinators get a proposal card.

  3. 3

    The hold runs out without a deposit, so the date reopens and the first couple on the waitlist is told.

  4. 4

    The couple pays the deposit, and the event is confirmed in the diary, appears on the kitchen sheet and starts its payment schedule.

  5. 5

    The couple books a tasting, and it appears on the kitchen’s board. When they confirm their dishes, the banquet event order gets a new version.

  6. 6

    A payment is missed, and sales and the management report flag it while the couple sees what is refundable.

  7. 7

    The couple confirms the final count, and kitchen quantities, tables and staffing lock. A later extra table waits for the coordinator, and approval re-prices the invoice and updates the kitchen sheets.
