Booking, prepaid packages and consent for a three-branch skin clinic group, with a front desk, a treatment room and a manager’s view of what the packages still owe.

The brief
Clinic groups sell prepaid packages across branches, but clients cannot see what they have left and managers cannot see what is still owed. Booking happens on WhatsApp, and consent and photo rules depend on staff remembering them.
What we shipped
A website with every price and online booking held by a deposit, a client app with a package wallet, a front desk schedule, a treatment room that enforces consent, and a group manager’s view of package liability, revenue, commissions and record access.

Online booking
Clients choose a treatment, a branch and a time. Only branches with the right room and a doctor or therapist on the roster are offered.

Deposit to hold the time
A RM 100 deposit for doctor treatments, or RM 50 for therapist treatments, holds the time and comes off the bill. A package session can hold it instead.

Consent before treatment
A treatment cannot start until the client has checked in, the health form and consent are current and any flags are reviewed. Photos stay blocked without separate photo consent.

Checkout and package redemption
At checkout the desk takes off the deposit or redeems a package session. When the package was bought at another branch, its value moves to the branch that gave the treatment.

Researched first, then built
Before designing anything, we studied 12 sites: six clinic groups in Malaysia, Singapore, the US and Ireland, and six clinic and booking software products. Nothing was copied. Each finding below changed a decision.

Rules it follows
The business rules, built in
The prototype enforces each of these, so you can test them yourself.
Deposits and booking
- RM 100 for doctor treatments, RM 50 for therapist treatments and consultations
- A package session holds a booking instead of a deposit
- Only branches with the right room and a rostered practitioner, at least 30 minutes ahead
Changes and no-shows
- Free changes and cancellations until 24 hours before
- Inside 24 hours the deposit is kept or a session is used
- A no-show can be recorded 15 minutes after the start, and any waiver needs a logged reason
Consent and safety
- Consent lasts 12 months and the health form 6 months
- Relevant health-form flags must be reviewed before Start
- Photos need separate consent, which the client can withdraw
Packages
- Valid for 6 to 12 months at the branches listed
- Using one at another branch moves its value and creates a settlement
- Transfers only to branches that honour it, with a reason

Every role works on the same records, so one person’s action shows up for the others.
