The brief

Service companies quote on WhatsApp, plan jobs on a whiteboard and chase payments by hand. Prices drift, discounts go unchecked and nobody can see where each job stands.

What we shipped

One system for the whole job: a website with prices and online booking, an office inbox where messages become quotes, owner approval for bigger discounts, a dispatch schedule, a technician app, and deposit, progress and final invoices.

Built for: Aircond, electrical, plumbing and other service companies that quote, schedule and invoice.

Before designing anything, we studied 11 sites: aircond and electrical service sites in Malaysia, Singapore, Australia, the US and the UK, and four field-service software products. Nothing was copied. Each finding below changed a decision.

The prototype enforces each of these, so you can test them yourself.

Prices

  • Per-unit prices tiered for 1, 2–3 and 4+ units, by unit type
  • Surcharges for larger units, and a diagnosis fee for inverter faults
  • RM 30 travel fee for outer zones, checked by postcode

Discounts

  • Staff can give up to 10%
  • Up to 20% needs the owner’s approval
  • Nothing above 20% can be sent

Payments

  • 30% deposit on installations, DB boxes and quotes of RM 500 or more
  • Homes pay when the job is done
  • Businesses pay on 14-day terms

Schedule and reminders

  • 2-hour arrival windows, Monday to Saturday
  • Approved leave blocks the schedule and the online booking slots
  • Service reminders every 6 months for homes and every 3 months for businesses

Every role works on the same records, so one person’s action shows up for the others.
